How to Use the Lease Tracker Template for Excel

Follow the steps below to use our lease tracking spreadsheet. 

1. Enter New Lease Details into a New Row

Whenever you sign a new lease, add the details to a new row in your Excel template. Ensure you fill in all columns: Property Name, Tenant Name, Lease Start, Lease End, Monthly Rent, and Contact Information. This keeps your tracker up-to-date.

2. Update Existing Lease Information as Needed

If any details of a lease change (e.g., a tenant's contact information updates or the rent amount changes), find the corresponding row in your Excel tracker and make the necessary adjustments. This ensures your information remains accurate.

3. Regularly Check for Leases Approaching Their End Date

Regularly check the "Lease End" dates to identify leases that are nearing completion. This can help you plan for lease renewals or prepare to find new tenants. Use the sorting feature in Excel to sort leases by the "Lease End" date for easier review.

4. Filter Data to Quickly Find Specific Leases

If you need to find specific information quickly, such as all leases ending in a particular month or all properties rented by a specific tenant, use the filter feature. Click on the drop-down arrow in the column headers to filter the data according to your needs.

5. Regularly Backup Your Lease Tracker to Prevent Data Loss

Regularly save backups of your lease tracker. Consider saving a copy to an external drive or cloud storage. This prevents data loss and ensures you always have access to your lease information.

6. Utilize Excel Formulas for Automatic Calculations

To automatically calculate the total income from all properties, Excel's SUM formula was used. 

8.  Clean and Update the Tracker to Maintain Accuracy and Relevance

Periodically review your lease tracker for outdated information or errors. Remove or archive completed leases to keep the tracker focused on active agreements. This keeps the document manageable and useful.
